Administrative Coordinator – Grocery & Retail Vendor Management

About the role

We are looking for an Administrative Coordinator to support Talabat’s Instashop grocery and retail partner network. The role serves as the first point of contact for vendors, ensuring smooth onboarding, contract management and day‑to‑day issue resolution.

Key responsibilities

• Coordinate with Marketing, Operations and Finance to handle account‑management and commercial queries.
• Respond promptly to vendor calls, emails and complaints, escalating to Account Management when needed.
• Upload, update and maintain vendor information in internal systems.
• Set up new partners, conduct trainings and troubleshoot system issues.
• Collect, file and monitor vendor contracts, amendments and related sales data.
• Prepare periodic reports on contract delivery, pickup and transmission methods.
• Monitor vendor quality, maintain relationships and resolve operational issues between partners and users.

Required profile

• Bachelor’s degree in a relevant field.
• Strong interpersonal, written and verbal communication skills.
• Customer‑service orientation with problem‑solving and negotiation abilities.
• Ability to meet deadlines and adapt to a fast‑paced environment.
• Proven capability to build and maintain client relationships.

Required skills

• Proficiency with MS Office, especially Excel.
• Experience using CRM systems.
• Familiarity with sales workforce tools.
