Document Coordinator – Tobacco Industry

About the role

We are seeking a highly organized Document Coordinator to support our tobacco manufacturing operations. The role ensures that all production, quality, regulatory and operational documents are accurate, up‑to‑date and fully compliant.

Key responsibilities

• Manage, control and maintain documents and records across manufacturing, quality assurance, regulatory compliance, production and operational activities.
• Provide confidential administrative support to the General Manager, including calendar management, travel arrangements and visitor handling.
• Organise and facilitate meetings, conferences and special events, and act as liaison with internal offices and external agencies.
• Enter, update and archive data in departmental databases, maintaining orderly filing systems.
• Draft and process correspondence, purchase orders and other written documentation, ensuring proper distribution.
• Assist in project planning, coordination and execution of special initiatives.
• Conduct quarterly asset inventory checks and ensure accurate tracking of company assets.
• Process purchase orders through the SAP system.

• Excellent organisational and administrative skills.
• Experience supporting senior management and coordinating cross‑functional activities.
• Ability to work under tight deadlines while maintaining high quality standards.
