Head of Stores & Document Archiving

About the role

The Head of Stores & Document Archiving is responsible for overseeing all inbound and outbound stock movements, maintaining accurate inventory records, and managing the end‑to‑end document archiving process. This senior position leads a multi‑site store operation, ensures compliance with health and safety standards, and drives cost‑reduction initiatives while supporting the organization’s digital transformation goals.

Key responsibilities

• Manage inward and outward stock movements, ensuring inventory accuracy and proper documentation.
• Develop and maintain relationships with third‑party carriers and courier companies.
• Prepare annual budgets, monitor variances, and implement corrective actions to meet financial objectives.
• Supervise day‑to‑day store operations, including goods receipt, storage, picking, shipment loading, and data entry.
• Investigate and report damaged or missing stock, and ensure health and safety compliance.
• Lead the Archiving/Examination project, coordinating outsourced and internal resources to meet target dates.
• Oversee document scanning, indexing, and quality assurance to provide reliable soft copies on the Captiva system.
• Collaborate with the Xerox outsourcing team to achieve project milestones.
• Continuously review processes, recommend improvements, and motivate staff for efficient performance.

Required profile

• Minimum 10 years of experience in store/warehouse management, with at least 4 years in electronic archiving.
• Proven experience managing multi‑site operations and supervising direct reports.
• Strong educational background (good general level of education).
• Excellent people‑management and problem‑solving abilities.
