Bilingual Onboarding Administrator (French/English)

About the role

We are looking for a bilingual Onboarding Administrator who will guide new hires through the entire onboarding journey, from the offer letter to full employee setup. The role requires daily interaction with candidates to ensure a smooth, professional experience and to maintain accurate employee records.

Key responsibilities

• Manage the end‑to‑end onboarding process, including preparing, delivering, and following up on offer letters and onboarding documents.
• Communicate with new hires at least once a day to answer questions, verify documentation, and ensure a high‑quality candidate experience.
• Review and update internal systems to guarantee the accuracy of new employee information.
• Support the Talent Acquisition team in meetings, training sessions, and ad‑hoc projects.
• Provide urgent evening and weekend onboarding support when required.
• Act as a backup for critical onboarding processes and liaise with Training and Payroll teams.
• Handle confidential information with professionalism and discretion.

Required profile

• College or university degree in Business, Human Resources, Talent Acquisition, or a related field.
• 1‑2 years of experience in a Talent Acquisition or HR role, preferably in retail, sales, or multi‑unit operations.
• Strong knowledge of full‑cycle recruitment best practices.
• Excellent verbal and written communication skills in both English and French.
• Highly organized with strong time‑management abilities.
• Ability to build relationships and thrive in a fast‑paced environment.
• Self‑starter with a positive, supportive attitude.

Required skills

• Experience using an Applicant Tracking System (ATS).
• Familiarity with HRIS or ERP platforms, specifically ADP and iCIMS.
