Data Collections Specialist – Alumni Data Management

About the role

The Data Collections Specialist will support the Institutional Research and Effectiveness office at Louisiana State University of Alexandria by managing and enhancing the alumni database. This role focuses on digitizing historical records, gathering updated alumni information, and ensuring data quality for outreach and fundraising initiatives.

Key responsibilities

• Input and digitize historical graduation records and legacy student files into the alumni database.
• Collect updated alumni information through surveys, forms, and direct outreach.
• Acquire new or corrected contact information from specialized data vendors.
• Maintain and regularly update the alumni database, ensuring accuracy and completeness.
• Standardize and clean data to reduce duplication and improve usability.
• Implement quality‑control processes and conduct regular data integrity audits.
• Fulfill data requests from the Alumni Coordinator and Advancement staff for communications and fundraising campaigns.
• Generate reports, lists, and analytics to support alumni programming and outreach strategies.
• Track alumni participation and engagement metrics.
• Ensure compliance with university policies, FERPA, and applicable data‑privacy regulations.
• Assist Institutional Research staff with data‑related projects and campus‑wide data collection initiatives.

Required profile

• Experience with data entry and database management.
• Familiarity with FERPA and data‑privacy regulations.
• Ability to work collaboratively with alumni and advancement teams.
• Strong attention to detail and organizational skills.
