About the role

The Practice Coordinator will act as the central hub for the litigation team, linking fee‑earners, finance, secretarial staff and external advocates. The role ensures that all administrative, compliance and client‑relationship processes are executed efficiently and in line with firm standards.

Key responsibilities

  • Coordinate matter opening and closing, collecting KYC documents, engagement terms and Powers of Attorney (POAs).
  • Draft, review and manage Arabic and English documentation, ensuring accuracy and compliance.
  • Maintain the POA digital repository and oversee notarisation processes.
  • Track litigation matter lifecycles, deadlines, billing status and work‑in‑progress with finance.
  • Proactively follow up on invoices, billing submissions and revenue recovery.
  • Support client relationship management, handle routine queries and schedule client‑facing events.
  • Maintain CRM records, add new contacts and track business‑development activities.
  • Assist with e‑billing registration, supplier onboarding and translation of compliance documents.
  • Manage diaries, travel, visas and logistics for senior stakeholders.

Required profile

  • Experience in a paralegal or legal administrative role, preferably within a litigation practice.
  • Strong organisational skills with the ability to manage multiple deadlines.
  • Excellent written and verbal communication in both Arabic and English.
  • Proactive attitude and ability to work collaboratively across teams.
