Defensive Line - Marketing Administration

About the role

The Defensive Line provides secretarial support to the marketing department in all areas of the office and personal administration. It is a full-time position based in Cairo.

Key responsibilities

• Assist and support the Marketing Department in all areas of personal administration, including preparing and editing confidential correspondence, reports, documents, meeting minutes and presentations, including typing from notes and written documents.
• Coordinate courier services, mail and facsimile distribution.
• Help prepare and enhance PowerPoint presentations.
• Manage the Marketing Director's diary, scheduling appointments and meetings, and coordinate phone and video conference meetings.
• Keep track of important submission dates such as budget estimates and business plans, and track deadlines for the marketing department budget.
• Support and manage weekly and biweekly marketing team meetings and their minutes.
• Organize marketing department events, workshops and conferences, including facilities, equipment and materials, attendee coordination and event budget management.
• Handle incoming calls and voicemail, respond to internal and external inquiries and emails, and redirect calls as appropriate.
• Arrange room, catering and equipment bookings for client and internal meetings, and coordinate travel and accommodation, including flights, hotels and itineraries for international guests visiting Egypt.
• Support planning and coordination of the annual kick-off event for Red Bull.

• Ability to manage the overall personal administration of the marketing department.
• Well-organized and able to make travel and accommodation arrangements hassle-free.
• Keeps calendars up to date and ensures files are easily accessible.
• Stays up to date with the team and knows what is happening across the company.
