About the role

The Executive and Sales Assistant provides high‑level administrative, commercial and operational support to the Varian Executive and Sales Team. Based in Cairo, this role acts as a key link between leadership and the sales function, ensuring smooth day‑to‑day business activities and supporting strategic initiatives.

Key responsibilities

  • Prepare and review sales proposals, quotations, contracts and tenders, ensuring accuracy and compliance.
  • Draft and manage all customer and business correspondence, including emails and official letters.
  • Maintain CRM systems, sales data and customer records while supporting reporting and performance tracking.
  • Coordinate meetings, customer visits, events and travel arrangements for sales and executive activities.
  • Produce presentations, reports and track key actions and follow‑ups.
  • Collaborate with internal teams such as finance, logistics and marketing to secure approvals and timely customer responses.
  • Improve operational processes, coordinate vendors and ensure effective cross‑functional communication.

Required profile

  • Bachelor’s degree in business administration or a related field.
  • 3–5 years of experience in administrative support, executive assistance or sales coordination.
  • Hands‑on experience with CRM systems, contracts, quotations and commercial documentation.
  • Strong proficiency in Microsoft Office for reporting and presentations.
  • Excellent organizational, multitasking and time‑management abilities with high attention to detail.
  • Professionalism in handling confidential information with discretion.
  • Proactive, solution‑oriented mindset with strong commercial awareness.
