Operations Executive – Reservations & Logistics

About the role

We are looking for an Operations Executive to manage reservations and logistics for events and conferences. The role ensures seamless coordination of venues, accommodation, transportation, and on‑site operations while delivering a high standard of service to guests and VIPs.

Key responsibilities

• Plan and execute event logistics in line with timelines.
• Coordinate venue setup, including registration areas, exhibition spaces, and hospitality zones.
• Arrange transportation for guests, speakers, and VIP delegates.
• Handle hotel reservations, rooming lists, and accommodation logistics.
• Supervise on‑site operations to guarantee smooth execution.
• Manage VIP hospitality and ensure a premium guest experience.
• Liaise with venues, hotels, vendors, and suppliers for timely service delivery.
• Oversee registration desks, guest services, and hospitality teams during events.
• Respond to operational issues in real time and resolve problems during live events.

Required profile

• Previous experience in events, hospitality, logistics, or operations coordination (preferred).
• Strong organizational, coordination, and multitasking abilities.
• Excellent communication and interpersonal skills.
• Close attention to detail and accuracy.
• Ability to work effectively under pressure and manage multiple priorities.
• Strong sense of responsibility, commitment, and professionalism.
• Willingness to work on‑site during events and travel when required.
