Operations Excellence Executive (Remote)

About the role

We are looking for an Operations Excellence Executive to act as the right‑hand to our CEO and ensure smooth coordination between our European headquarters and furniture production in China. The role is fully remote and requires managing order workflows, shipping documentation, finance entries and communication across multiple platforms.

Key responsibilities

• Maintain and update the ASANA platform for order tracking and project management.
• Collect and verify international shipping papers (BOL, BOM) from production and shipping partners, and distribute them to customers.
• Send reminders to production teams to keep documentation current.
• Communicate with customers, submit required documents, and ensure SOP compliance.
• Participate in production WeChat groups to coordinate with local teams.
• Update product listings on various sales platforms and organise files according to naming standards.
• Record financial transactions and order confirmations in Xero accounting software.
• Follow‑up on outsourced projects via Upwork and manage website and newsletter content.

Required profile

• Minimum 5 years of experience in a similar operations or logistics role.
• Experience handling international export shipping documentation.
• Ability to work across China‑Europe time zones.
• Fluent English (written and spoken); Chinese language a plus.
• Strong organisational skills and attention to detail.

Required skills

• Proficiency with ASANA (project management).
• Proficiency with Xero (accounting).
• Experience using WeChat for business communication.
