Documentation Officer

About the role

The Documentation Officer will manage, organise and maintain all supplier and customer documentation to ensure compliance with company policies, industry standards and regulatory requirements. Working closely with shipping lines, agents and internal teams, the role supports smooth logistics operations through accurate paperwork and effective coordination.

Key responsibilities

• Develop and maintain a comprehensive supplier database and approved supplier list.
• Serve as the main point of contact for suppliers, handling logistics pricing and supporting the sales team.
• Make bookings with shipping lines and agents, submit Verified Gross Mass (VGM) and review Bills of Lading and other shipping documents.
• Monitor shipment operations, follow up with agents and resolve any discrepancies in supplier invoices.
• Assist customers with CargoX registration, manage ACID submissions via the Nafeza platform and coordinate with customs authorities.
• Ensure compliance with import and export regulations throughout the documentation process.

Required profile

• Bachelor’s degree in Logistics, Supply Chain or Business.
• 2–3 years of experience in logistics or shipping documentation.
• Excellent written English and strong attention to detail.
• Ability to work under pressure and manage multiple tasks simultaneously.

Required skills

• Proficiency in MS Office.
• Experience with ERP systems, preferably Odoo.
• Familiarity with CargoX and Nafeza platforms.
• Knowledge of shipping documents such as Bill of Lading, Packing List and Certificate of Origin.
