Activity Manager

About the role

The Activity Manager will design, coordinate and supervise a wide range of school activities and trips, ensuring they align with the curriculum and school objectives. This role involves close collaboration with teachers, administrators, parents and external partners to deliver safe and enriching experiences for students.

Key responsibilities

• Develop surveys and questionnaires for teachers, administrators and students to plan activities and trips based on school objectives and curriculum.
• Propose and communicate the yearly activities and trips plan for verification and approval by the management team.
• Create and maintain the school activities calendar in coordination with the school director and stage principals.
• Liaise with external organizations, academies, hotels and suppliers to obtain service offers.
• Schedule and organize all trips, coordinating with the Business Development Manager to prepare communication materials for parents and students.
• Publicize after‑school programs and trips, and develop customized parent approval forms for each activity.
• Collect approval forms, fees and monitor participant lists.
• Coordinate with operational departments to prepare the school for activities and with finance to apply correct pricing strategies.
• Monitor student participation, feedback and well‑being, reporting regularly to school leadership.
• Address special needs or concerns of students in collaboration with parents, counselors and academic staff.
• Supervise activities on campus, conduct post‑activity surveys and evaluate satisfaction.
• Plan and manage international trips, including negotiations with travel agencies, flight and accommodation arrangements, and on‑trip supervision.

Required profile

• Proven experience coordinating school activities, trips and after‑school programs.
• Strong communication and liaison abilities with internal staff, parents and external service providers.
• Capability to monitor student behavior and emotional well‑being during extended trips.
