About the role

The Administrative Officer provides comprehensive administrative and logistical support to the Office (RO) in Cairo, ensuring smooth operations for expatriate staff and effective coordination with government authorities.

Key responsibilities

  • Manage end‑to‑end residency, work permit, national ID and visa processes for expatriate staff and dependants.
  • Coordinate customs clearance for shipments, personal effects and office equipment.
  • Arrange telecommunication services, including telephone lines and SIM cards for international staff.
  • Maintain accurate records of all expatriate‑related documentation and official correspondence.
  • Oversee drivers’ schedules, overtime records and overall expatriate administration.
  • Draft and process internal/external correspondence, including translations when required.
  • Support communications by updating internet and intranet pages.
  • Act as Records Management, HR, Stationery and Archives coordinator.
  • Produce reports and manipulate data using SAP, Data Warehouse, CAR, BPN and DTM systems.
  • Coordinate facilities, catering and technical assistance for meetings and training sessions.
  • Prepare presentations, briefing notes and act as Health, Safety & Security Co‑ordinator.
  • Arrange travel, visas, accommodation and expense claims in line with EBRD policy.
  • Manage diaries, schedule meetings and provide ad‑hoc secretarial support.

Required profile

  • Experience managing residency, work permits and visa processes for expatriate staff.
  • Knowledge of customs clearance procedures and telecommunication arrangements.
  • Strong record‑keeping and documentation skills.
  • Ability to coordinate drivers, facilities and meeting logistics.
  • Proficiency in drafting correspondence and handling translations.
  • Familiarity with health, safety and security coordination.
  • Experience arranging travel and managing expense claims.
