About the role
We are seeking a dynamic Administrative Specialist to be the welcoming face of our global sustainable packaging company. You will manage the front‑desk, coordinate travel and meetings, and ensure smooth daily operations across our multinational manufacturing sites.
Key responsibilities
- Manage the reception area, greet clients, vendors, and visitors professionally.
- Coordinate business meetings, conference‑room bookings, and front‑desk inquiries.
- Arrange travel logistics, including flight tickets, hotel accommodations, and company transportation.
- Oversee daily facility operations such as office setup, workplace maintenance, and general services.
- Serve as primary contact for external vendors, security, cleaning, and maintenance teams.
- Lead and mentor office support staff to maintain high service standards.
- Collaborate with HR to support employee services and align local operations with global standards.
- Track administrative expenses, facility requests, and vendor data using company systems.
Required profile
- University degree in business administration, office management, or a related field.
- 1–4 years of experience in reception, administration, or facility coordination, preferably in a multinational manufacturing environment.
- Strong analytical thinking, multitasking, and problem‑solving abilities.
- Excellent interpersonal and communication skills in English.
Required skills
- Proficiency with Microsoft Office tools (Word, Excel, PowerPoint).
- Experience with SAP software (preferred).
