Facilities Lead

About the role

Instashop is seeking a Facilities Lead to oversee day‑to‑day operations across its locations, including reception, maintenance, cleaning, pantry services, and more. You will ensure that all facilities run smoothly, support employee experience initiatives, and manage vendor relationships.

Key responsibilities

• Lead daily facilities management for Instashop sites, covering reception, maintenance, cleaning, pantry, vending, stationery, mail, and archiving.
• Monitor and evaluate outsourced services such as housekeeping, pest control, and fleet management.
• Supervise the facilities team, allocate workloads, and drive strategic planning for team goals.
• Handle facilities needs in logistics hubs and dark stores, ensuring timely issue resolution.
• Oversee contract renewals, negotiate with external service providers, and maintain accurate vendor documentation.
• Review monthly third‑party service reports to ensure compliance with KPIs and SLAs.
• Manage procurement processes, asset movement, and financial documentation.
• Plan and execute workplace projects, office improvements, and employee‑facing events that reinforce Instashop’s culture.

Required profile

• Bachelor’s degree in Business Administration, Hospitality, Facilities Management, Engineering (Mechanical, Electrical, or Civil) or a related field.
• Minimum 1 year of experience in facilities management or a fast‑paced service‑delivery environment.
• Strong understanding of building systems, maintenance protocols, and safety standards.

Required skills

• Proficiency in MS Office.
• Experience with facilities management tools or systems.
• Strong contract negotiation and vendor‑management capabilities.
• Ability to multitask and coordinate across multiple locations.
