Facilities Specialist – Soft Services Coordinator

About the role

The Facilities Specialist will be responsible for coordinating and managing the day‑to‑day delivery of soft facilities services within the VOIS building. This role ensures a safe, efficient and positive workplace experience by overseeing vendors, supporting events, monitoring budgets and handling workplace requests.

Key responsibilities

• Coordinate and oversee soft facilities services such as catering, housekeeping and business support across the building.
• Manage third‑party service providers, ensuring service quality standards are met and continuously improved.
• Plan and execute workplace events, fairs, exhibitions and hospitality requirements.
• Support budgeting and expense monitoring for facilities services and building operations.
• Track building consumption and expenditures to stay within approved budgets.
• Handle internal logistics for in‑house events and activities.
• Manage customer service requests, meeting‑room reservations and hospitality needs.
• Report maintenance observations and facilities issues to property management.
• Ensure office equipment, photocopying facilities, stationery and consumables are available and functional.
• Liaise with IT to report and resolve technical issues affecting workplace services.

Required profile

• Proven experience in facilities or workplace services coordination.
• Strong vendor management and customer‑service orientation.
• Ability to monitor budgets and control operational costs.
• Excellent organisational skills for event planning and logistics.
• Good communication skills to interact with internal teams and external providers.
