About the role
The Assistant to the Dean of Graduate Studies supports the Dean in managing the postgraduate school’s daily operations, acting as a key liaison among faculty, staff, and university departments. This role ensures smooth administrative processes and contributes to the academic and research mission of the institution.
Key responsibilities
- Serve as a communication hub between the Dean, faculty, program directors, and departments such as HR, Registrar, Admissions, Finance, Library, and the Provost’s Office.
- Collect, collate, and disseminate data to internal stakeholders and ensure compliance with postgraduate policies.
- Maintain a confidential filing system and handle general office duties including word processing, filing, phone answering, photocopying, faxing, and correspondence management.
- Organize faculty and staff information, workload, compensation data, and prepare regular reports.
- Support program directors and coordinators in coordinating school activities and committee work, including minute taking, agenda preparation, and meeting logistics.
- Follow up on postgraduate admission cycles, automate processes, and update announcements as needed.
Required profile
- Bachelor’s degree in a related field.
- 3–5 years of relevant administrative experience.
- Excellent command of the English language.
- Strong communication, time‑management and problem‑solving abilities.
Required skills
- Word processing (e.g., Microsoft Word).
- Filing and document management.
- Phone handling and customer service.
- Photocopying and faxing operations.
- Correspondence creation and retrieval.
- Data collection and report preparation.
