Facilities Lead – Manage Operations & Vendor Relations

About the role

We are looking for a Facilities Lead to oversee day‑to‑day facilities operations across InstaShop locations. You will ensure that reception, maintenance, cleaning, pantry, vending, stationery, mail and archiving services run smoothly while supporting logistics hubs and dark stores.

Key responsibilities

• Lead daily FM activities, including desk allocation, space utilization, furniture and parking management.
• Monitor and evaluate outsourced services such as housekeeping, pest control and fleet management.
• Supervise the FM team, distribute workload and set strategic goals.
• Manage contract renewals, negotiate with external providers and maintain accurate vendor documentation.
• Review monthly service reports, enforce KPIs/SLAs and resolve help‑desk tickets.
• Oversee procurement, asset movement and financial documentation for all company assets.
• Plan and execute workplace projects, office improvements and employee‑facing events that reinforce company culture.

Required profile

• Bachelor’s degree in Business Administration, Hospitality, Facilities Management, Engineering (Mechanical, Electrical or Civil) or a related field.
• At least 1 year of experience in facilities management or fast‑paced workplace operations.
• Strong understanding of building systems, maintenance protocols and safety standards.

Required skills

• Proficiency in MS Office.
• Experience with facilities management tools or systems.
• Strong contract negotiation and vendor management abilities.
• Excellent organizational and multitasking capabilities.
